What you'll do:

As a Legal Secretary based in Singapore, you will immerse yourself in a diverse range of responsibilities that underpin the smooth operation of legal matters from inception through closure. Your day-to-day activities will see you collaborating closely with lawyers and business development teams alike, ensuring that all administrative elements are meticulously managed while also contributing to broader firm initiatives. You will be entrusted with maintaining high standards across document management systems, supporting billing cycles efficiently, coordinating complex travel arrangements for associates or partners when necessary, and leveraging legal technology solutions to enhance service delivery.   • Manage all aspects of matter administration from client onboarding and clearance processes through to post-closing activities such as archiving and bibling, ensuring compliance with internal procedures at every stage.
  • Liaise directly with clients regarding matter management processes including anti-money laundering requirements, maintaining clear communication channels throughout each engagement.
  • Draft, maintain, and update essential documentation such as engagement letters, associate checklists, matter file lists, and ensure all files are accurately organised within digital platforms like IManage.
  • Oversee project administration tasks including setting up SharePoint sites for matters, supporting post-closing activities, and facilitating updates to clients as required.
  • Monitor project scope changes, billing agreements, estimates, caps, and provide regular updates on matter balances while supporting working capital management through monthly meetings with partners and finance teams.
  • Prepare drafts for review ahead of monthly working capital meetings; coordinate schedules to ensure timely discussions even when adjustments are needed due to client commitments.
  • Support billing and collections by raising accurate invoices using GMPS systems, preparing tax computations and write-offs for review by the billing team, and dispatching invoices securely to clients.
  • Assist partners and the business development team by amending materials such as CVs, pitches, presentations, client briefings; monitor collateral to ensure it remains current and relevant.
  • Organise internal events or client-facing functions, both virtual and in-person, including booking venues or workspaces as needed while providing host support throughout.
  • Facilitate the use of legal technology tools on matters by acting as a superuser for best delivery solutions; conduct end-of-matter reviews to identify follow-on opportunities such as deal reviews or knowledge-sharing initiatives.
