An exciting opportunity has arisen for a highly organised, resourceful and service-oriented Personal Assistant to support the Founder of an established management consultancy. This unique position combines personal assistance, lifestyle management and day-to-day operational support across Singapore and Melbourne.

Working closely with the Founder, you will be responsible for managing schedules, coordinating travel arrangements, overseeing personal and residential matters, and ensuring daily activities run seamlessly. The role requires a hands-on individual who thrives in a dynamic environment, anticipates needs and demonstrates exceptional discretion, flexibility and adaptability.

This opportunity offers a varied scope of responsibilities, international travel and the autonomy to manage priorities independently while delivering consistently high standards of service.

  • Work directly with a business Founder, providing comprehensive personal, administrative and lifestyle support.

  • Enjoy a dynamic role spanning Singapore and Melbourne, with opportunities for frequent international travel.

  • Take ownership of diverse responsibilities in a trusted position that values reliability, initiative and discretion.

What you'll do

As a Personal Assistant, you will play an integral role in ensuring the Founder's day-to-day personal and logistical arrangements are managed efficiently. Your responsibilities will span calendar management, transportation, travel coordination, concierge services and residential administration. You will be expected to anticipate requirements, respond effectively to changing priorities and maintain the highest standards of professionalism and confidentiality.

  • Personal and calendar management: Manage appointments, schedules, personal commitments and daily arrangements, ensuring seamless coordination and flexibility when priorities change.

  • Transportation and driving: Provide safe, reliable and punctual transportation for the Founder and designated individuals, including appointments, school runs, activities and other engagements as required.

  • Vehicle management: Plan efficient routes, monitor traffic conditions and coordinate vehicle cleaning, servicing and maintenance to ensure readiness at all times.

  • Travel and concierge coordination: Arrange domestic and international travel, including flights, accommodation, airport transfers, restaurant reservations, activities and other personalised requests.

  • Travel support: Accompany the Founder on trips between Singapore, Melbourne and other destinations when required, providing hands-on logistical and concierge assistance.

  • Personal errands and lifestyle support: Manage personal purchases, grocery shopping, collections, deliveries, reservations and other day-to-day requirements.

  • Residential administration: Coordinate household operations, liaise with domestic staff and external service providers, and oversee maintenance, repairs and other residential requirements.

  • Staff coordination: Communicate instructions effectively to household personnel, including in Mandarin, and assist with sourcing additional support when necessary.

  • Additional personal support: Assist with coordinating schedules, transportation and activities for designated individuals, including children, where required.

  • Confidentiality and discretion: Handle all personal information, schedules and arrangements with the utmost sensitivity, professionalism and respect for privacy.

What you bring

The ideal candidate is a dependable and adaptable individual with a strong service mindset and the ability to manage diverse responsibilities independently. You will be comfortable working in a fast-paced, personalised support environment where flexibility, attention to detail and proactive problem-solving are essential.

  • Diploma or equivalent qualification, preferably in Hospitality, Business Administration, Communications or a related discipline.

  • Prior experience in personal assistance, executive support, lifestyle management, hospitality, concierge services or other service-oriented roles is advantageous.

  • Experience supporting senior executives, business owners or high-net-worth individuals would be beneficial.

  • Valid driving licence with a clean driving record, with the ability to meet applicable overseas driving requirements.

  • Strong communication skills in English, with the ability to converse in Mandarin to facilitate day-to-day coordination with Mandarin-speaking household personnel

  • Excellent organisational, multitasking and time-management skills, with the ability to manage competing priorities and respond to last-minute changes.

  • A proactive, resourceful and solutions-oriented approach, coupled with a willingness to undertake a broad range of responsibilities.

  • Strong interpersonal skills, patience and professionalism when interacting with individuals of different ages and backgrounds.

  • Comfortable supporting personal and residential arrangements, including responsibilities involving children where required.

  • Valid working rights in Singapore or Australia, as visa sponsorship is not available.

  • Willingness and ability to travel frequently between Singapore and Melbourne, with a valid passport and the ability to meet relevant travel requirements.

  • Willingness to obtain relevant background checks, including Working with Children Checks where applicable.

  • High levels of integrity, confidentiality, reliability and discretion.
