What you'll do:
As an Executive Assistant and Office Manager in this leading investment firm’s Singapore office, you will be instrumental in ensuring that daily operations run smoothly while providing comprehensive support to senior executives. Your role will involve managing intricate calendars across different regions, preparing vital materials for key meetings with clients and investors, coordinating international travel logistics down to the finest detail, and overseeing all aspects of office administration. You will also play an important part in organising impactful events that strengthen client relationships. - Coordinate complex internal and external meeting schedules involving senior leaders, investors, and stakeholders across multiple time zones.
- Track investor calls, meetings, departmental processes, and manage prospect mailboxes using Salesforce or similar client management systems.
- Prepare and ship meeting materials such as presentations, books, biographies, and other essential documents for high-stakes engagements.
- Arrange frequent international travel for executives including detailed multi-city and multi-country itineraries tailored to specific requirements.
- Assist with the planning and execution of client events and conferences to ensure memorable experiences for attendees.
- Oversee day-to-day office operations in Singapore including vendor management, facilities coordination, meals programmes, supplies procurement, and general administrative duties.
- Prepare accurate expense reports for the department with complex allocations using Workday or similar systems.
- Provide support on ad-hoc projects such as philanthropy initiatives and brand management activities as required by the leadership team.
- Collaborate closely with administrative assistants based in the US and Europe as well as the Head of Facilities to ensure smooth global operations.
- Maintain strict confidentiality while handling sensitive information and demonstrate sound judgement in all interactions.
What you bring:
To excel as an Executive Assistant and Office Manager in this role, your background should include substantial experience supporting senior executives within financial services or similarly demanding sectors. Your interpersonal skills will enable you to build trust-based relationships with colleagues at all levels while your technical proficiency ensures seamless use of tools like Microsoft Office Suite. You bring proven expertise in orchestrating complex travel plans across borders as well as managing multifaceted events that leave lasting impressions on clients. - Experience arranging international travel itineraries involving multiple cities or countries under tight deadlines.
- Familiarity with Salesforce or similar client management systems is highly preferred for tracking communications and processes.
- Hands-on experience managing expenses through Workday or comparable platforms is considered advantageous.
- Exceptional organisational skills enabling you to juggle multiple tasks while maintaining accuracy under pressure.
- Ability to learn new technologies rapidly and adapt processes as needed within a fast-evolving environment.
- High level of integrity, maturity, discretion when handling confidential matters; consistently demonstrates professionalism in all situations.
- Bachelor’s degree is preferred but not mandatory if equivalent experience can be demonstrated.
