Executive & Personal Assistant to CEO (Private Family Office)

A private family office in Singapore is seeking an experienced Executive Assistant to provide dedicated support to its Principal. Working within a small and professional team, you will manage the Principal’s calendar, coordinate business and personal travel, support day-to-day office requirements, and ensure that guests and stakeholders receive a polished and welcoming experience.

This is primarily an on-site, Monday-to-Friday position offering regular working hours. It would suit an organised, dependable and technology-savvy professional who exercises excellent judgement, values discretion and enjoys working closely with a Principal in a fast-paced environment.

What you’ll do

  • Manage the Principal’s calendar, schedule meetings and resolve potential conflicts proactively.
  • Coordinate domestic and international travel, including flights, accommodation, itineraries, visas and ground transportation.
  • Support selected personal and family travel arrangements when required.
  • Prepare for meetings and assist with related documentation, follow-ups and logistics.
  • Welcome guests and visitors professionally and arrange refreshments where appropriate.
  • Liaise with facilities personnel and external vendors regarding office supplies, maintenance and other services.
  • Monitor pantry and office supplies and coordinate replenishment when required.
  • Maintain accurate records of expenses, invoices and administrative documentation.
  • Assist with internal meetings, events and other ad hoc arrangements.
  • Use calendar, travel and AI-enabled productivity tools to improve efficiency.
  • Identify opportunities to refine administrative processes and establish effective ways of working.
  • Handle all personal, business and family-related information with the highest degree of confidentiality.

What you bring

  • Relevant experience supporting a senior executive, business owner or Principal in an Executive Assistant or Personal Assistant capacity.
  • Experience within a family office, financial services, investment firm or other fast-paced professional environment would be advantageous.
  • A university degree is preferred.
  • Strong spoken and written English and Mandarin, as there is a need to communicate confidently across different stakeholders.
  • Excellent calendar management, travel coordination and organisational capabilities.
  • A polished and professional communication style when interacting with guests, vendors and colleagues.
  • Exceptional discretion and sound judgement when handling confidential or sensitive matters.
  • A proactive and dependable approach, with the ability to anticipate needs and work independently.
  • Strong attention to detail and the ability to manage changing priorities calmly.
  • Confidence using digital scheduling, travel and productivity tools, with an openness to adopting new technology.
  • Willingness to travel occasionally would be advantageous but is not essential.
