Our client is a leading global infrastructure company with a strong presence across Asia. They are seeking a proactive and service-oriented Office Administration Executive to ensure the smooth day-to-day operations of their Singapore office while delivering an exceptional workplace experience for employees and visitors.

This role would be well suited to candidates from the aviation, hospitality, hotel, tourism, or premium customer service industries who enjoy creating a professional and welcoming environment.

Key Responsibilities

  • Manage front-of-house responsibilities, including answering phone calls, responding to emails, and warmly welcoming visitors.
  • Process purchase orders (POs), invoices, and bills accurately and in a timely manner.
  • Coordinate courier services, including local and international pick-ups and deliveries.
  • Support new employee onboarding by preparing workstations, coordinating building access, and managing Ctrip registrations.
  • Ensure pantry areas are clean, well-maintained, and fully stocked with necessary supplies.
  • Manage meeting room bookings and ensure meeting spaces are clean, organised, and ready for use.
  • Coordinate cross-border transportation and car booking arrangements for business travel and visitors.
  • Maintain office stationery inventory and oversee procurement to ensure adequate stock levels.
  • Provide general administrative support and contribute to maintaining an efficient, professional, and positive office environment.

Requirements

  • Diploma or Bachelor's degree in Business Administration, Hospitality, Tourism, or a related discipline.
  • Prior experience in office administration, front office, reception, hospitality, aviation, hotel operations, tourism, or customer service will be highly regarded.
  • Air crew, cabin crew, hotel, luxury hospitality, or tourism backgrounds are encouraged to apply.
  • Strong organisational and multitasking skills with excellent attention to detail.
  • Service-oriented with strong interpersonal and communication skills.
  • Proficient in Microsoft Office applications.
  • Ability to communicate effectively in both English and Mandarin is preferred, as the role requires regular interaction with Mandarin-speaking management and stakeholders.
  • Positive, proactive, and able to work independently in a fast-paced environment.
