What you'll do:

As an Executive Assistant to Regional Leaders based in Singapore, you will be instrumental in supporting a diverse group of senior executives overseeing the Growth & Emerging Markets (GEM) and Southeast Asia (SEA) Cluster.

  • Manage complex calendars for several Regional Directors across different time zones, prioritising appointments, meetings, and travel engagements while anticipating potential scheduling conflicts and offering proactive solutions.
  • Coordinate logistics for both virtual and in-person meetings, including technology setup, catering arrangements, agenda preparation, and follow-up communications to ensure all events run seamlessly.
  • Arrange domestic and international travel for the leadership team by booking flights, accommodations, ground transport, preparing detailed itineraries, tracking expenses, managing purchase orders, and ensuring compliance with company travel policies.
  • Support the planning and execution of regional conferences, leadership meetings, team events, and business operations by handling logistics such as venue selection, audiovisual equipment setup, catering services, and post-event evaluations.
  • Draft and edit correspondence, presentations, reports, meeting minutes, and other documents on behalf of Regional Directors while maintaining accuracy and professionalism at all times.
  • Handle confidential information with discretion by maintaining secure administrative files and records while upholding the highest standards of privacy.
  • Serve as a trusted liaison between Regional Directors and internal stakeholders by facilitating clear communication on critical decision-making matters.
  • Assist with special projects and initiatives led by the Regional Directors by conducting research, gathering information on various topics, sourcing vendors for events or initiatives, and managing ongoing relationships with external partners.
  • Monitor deadlines for key initiatives by tracking action items from meetings or projects and distributing follow-up reports to ensure progress is maintained across the cluster.
  • Continuously seek ways to improve administrative processes within the team by identifying opportunities for greater efficiency in daily operations.

What you bring:

To excel as an Executive Assistant to Regional Leaders in Singapore’s vibrant business landscape requires more than just technical proficiency—it demands proven experience supporting high-level executives within complex organisations.

  • A minimum of 6-8 years’ experience as an Executive Assistant or in a similar administrative capacity within an international or fast-paced environment is required for this role.
  • Exceptional organisational skills are essential for managing multiple complex calendars simultaneously while prioritising tasks effectively under tight deadlines.
  • Outstanding written and verbal communication abilities in English are necessary for drafting correspondence as well as building rapport with diverse individuals at all levels; fluency in additional languages is considered an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) along with experience using calendar management software or other relevant administrative tools is expected.
  • Impeccable attention to detail ensures accuracy when preparing documents or handling sensitive information related to executive operations.
