Admin Assistant (12 months)
This role offers you the opportunity to be the professional face of the business unit, providing comprehensive administrative support and ensuring seamless operations across all levels. You will play a pivotal part in coordinating activities for bankers, managing travel logistics, processing expenses, and supporting visiting team members.
What you'll do:
As an Administrative Assistant (12-Month Contract), you will be at the heart of day-to-day operations in Singapore.
- Provide comprehensive administrative support to the business unit by managing daily office operations and ensuring all tasks are completed efficiently.
- Coordinate activities for bankers including scheduling meetings, arranging business travel, and handling logistics to facilitate smooth workflows.
- Process expense reports and invoices promptly while maintaining accuracy and compliance with company policies.
- Perform general office duties such as maintaining supplies, equipment, and ensuring the workspace remains organised and functional.
- Work closely with desk/floor support teams (IT) to ensure all phones, computers, and technology resources are running smoothly for staff.
- Manage seating plans for new hires and assist with planned moves within the office to optimise space utilisation.
- Offer local support to visiting team members from other offices by helping them settle in and addressing their needs during their stay.
- Undertake ad-hoc duties as assigned by management to contribute positively to the overall efficiency of the business unit.
- Maintain excellent communication with internal stakeholders to foster a collaborative environment and address any administrative concerns promptly.
- Demonstrate initiative by identifying areas for process improvement and contributing ideas that enhance operational effectiveness.
What you bring:
To excel as an Administrative Assistant (12-Month Contract), you bring proven experience from private banking or wealth management settings where precision and discretion are paramount.
- Three to five years of experience in private banking or wealth management is preferred for understanding industry-specific requirements.
- Strong organisational skills enable you to manage multiple tasks simultaneously while maintaining high standards of accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Teams, and Outlook ensures you can handle digital tasks efficiently.
- Excellent written and verbal communication skills allow you to interact professionally with colleagues at all levels.
- A proactive personality combined with motivation helps you anticipate needs and deliver solutions before issues arise.
- Attention to detail is crucial for processing expenses, managing logistics, and maintaining accurate records.
