What you'll do:

As an Investment Group Support Coordinator in Singapore, you will play an essential role in ensuring the smooth functioning of investment teams by providing dependable administrative assistance.

  • Provide high-quality administrative support to multiple executives and senior leaders across equity and fixed income investment teams, ensuring seamless daily operations.
  • Coordinate complex calendars with precision, managing competing priorities while maintaining clear communication with stakeholders at all levels.
  • Prepare detailed documents for meetings, ensuring accuracy and timely distribution to relevant parties.
  • Arrange intricate travel itineraries using Concur or similar systems, handling last-minute changes with resourcefulness and care.
  • Act as a critical safety net for Investment Assistants and Managers by anticipating needs and proactively addressing potential issues before they arise.
  • Support ad hoc projects as required, contributing positively to team objectives through effective collaboration and adaptability.
  • Develop backup plans and alternative solutions when unforeseen circumstances occur, demonstrating flexibility in approach.
  • Leverage interpersonal relationships within the team to facilitate smooth coordination of tasks and information flow.
  • Regularly review processes for efficiency improvements, implementing best practices in administrative support.
  • Maintain confidentiality at all times while handling sensitive information related to investments or personnel.

What you bring:

To excel as an Investment Group Support Coordinator, you will bring proven experience supporting senior professionals in settings where attention to detail is paramount.

  • A minimum of 3-5 years’ experience providing administrative support to multiple executives or senior leaders simultaneously within fast-paced environments.
  • Demonstrated expertise in managing complex calendars using Microsoft Outlook or similar tools with exceptional organisational skills.
  • Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint) enabling efficient document preparation and data management.
  • Proven ability to coordinate complicated travel arrangements using Concur or equivalent platforms while adapting quickly to changes.
  • Strong interpersonal skills with a considerate approach that fosters positive relationships across diverse teams.
  • Excellent written and verbal communication abilities allowing clear prioritisation of tasks and transparent updates for stakeholders.
  • A collaborative mindset with patience and adaptability tailored to meet the varying needs of managers supported.
  • Resourcefulness in creating backup plans when faced with unexpected challenges or shifting priorities.
  • Experience within financial services is preferred but not essential; openness to learning about industry-specific requirements is valued.
