Our client is seeking a resourceful and dependable Office Coordinator for a 6-month contract in Singapore. This role is an exciting opportunity to work within the Global Workplace Services teams, providing first-class facilities and administration across APAC offices.

What you'll do:

As an Office Coordinator, your role will be pivotal in ensuring smooth operations across our APAC offices. You'll be responsible for managing onsite vendors, coordinating reception and conference rooms, planning desk spaces, evolving our hybrid working environment, collaborating on global projects, enhancing our workplace culture, planning employee events, and providing light accounting support. Your ability to multi-task effectively while maintaining a keen eye for detail will be key to your success in this role.

  • Manage onsite vendors, review and negotiate agreements, oversee facility maintenance and day-to-day operations
  • Coordinate reception and conference rooms, screen incoming calls, greet guests, prepare conference rooms and operate VC equipment
  • Plan desk spaces, people moves and visitor facilitation with the Workplace Manager and Tech Services team
  • Evolve our hybrid working environment in collaboration with various internal teams
  • Collaborate on travel, event and swag ideas and global projects with the Global Workplace Services team
  • Identify opportunities to enhance & create a positive, productive environment which is aligned with our culture and values
  • Research, plan and run in-office and off-site employee events and team bonding opportunities
  • Provide light accounting support such as cross-checking team invoices, reconciling transactions on the company credit card and liaising with our Accounts Payable team on team invoices and annual team spend reporting

What you bring:

The ideal candidate for the Office Coordinator role will bring a wealth of administrative experience along with strong customer service skills. You'll have a bachelor's degree in business management or a related field (or equivalent experience), coupled with at least 3 years of previous administrative experience. Your ability to work independently while effectively multi-tasking will be crucial. Strong verbal and written communication skills are essential as well as competency across Microsoft Office including Excel, Word, and PowerPoint.

  • At least 3 years of previous administrative experience
  • Strong customer service skills and a professional manner
  • Ability to work independently and multi-task effectively
  • Keen eye for detail, excellent prioritization, organisation and time management abilities
  • Strong verbal and written communication skills
  • Competency across Microsoft Office including Excel, Word, and PowerPoint
