A leading organisation in Singapore is seeking an Office Administrator to play a pivotal role in ensuring the seamless operation of their office environment. What you'll do:

As an Office Administrator based in Singapore, you will be entrusted with ensuring that every aspect of the workplace operates smoothly.

  • Oversee the daily running of the office by ensuring it remains clean, safe, and efficient for all employees and visitors.
  • Liaise regularly with building management, service providers, and vendors to coordinate maintenance, repairs, and timely delivery of office supplies.
  • Manage office budgets meticulously including petty cash handling and expense tracking to maintain financial accuracy.
  • Coordinate seating arrangements, facilitate office moves, and address facilities requirements so that everyone has what they need to succeed.
  • Provide comprehensive administrative and clerical support to the leadership team as well as other departments across the organisation.
  • Handle incoming calls, emails, and correspondence with professionalism and courtesy to maintain excellent communication standards.
  • Maintain both physical and electronic filing systems so records are always organised and easily accessible when needed.
  • Prepare reports, presentations, and documentation as required by various teams or management.
  • Assist with onboarding new employees by preparing welcome packs and maintaining up-to-date employee records for HR purposes.
  • Coordinate staff welfare activities such as events and celebrations while supporting HR with leave tracking and basic administrative duties related to personnel.
  • Source office supplies efficiently, manage pantry stock levels, negotiate with vendors for cost-effective services, and oversee equipment purchases.
  • Arrange travel itineraries, accommodations, transport for staff when necessary; schedule meetings including booking rooms and preparing materials.

What you bring:

To excel as an Office Administrator in this organisation, your proven experience in similar roles will be invaluable.

  • Diploma or degree in Business Administration or a related field is preferred for this position as it provides foundational knowledge relevant to the role.
  • At least 3–5 years of experience in office administration or office management roles ensures you have practical expertise in handling diverse responsibilities.
  • Exceptional organisational skills paired with strong multitasking abilities enable you to keep track of multiple priorities without missing details.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint) along with familiarity with basic IT systems helps you navigate daily tasks efficiently.
