Executive Assistant - investment firm
Our client is seeking an Executive Assistant to join their team in Singapore. This role is integral to the smooth running of the organisation, providing support to professionals and contributing to the overall effectiveness of the firm. What you'll do:
As an Executive Assistant, you will play a crucial role in improving the effectiveness of the professionals you support as well as the firm overall. Your day-to-day responsibilities will include a variety of administrative tasks such as managing calendars and phones, preparing sensitive documents, arranging travel and managing expense reimbursements. You will also be involved in meeting planning and execution of logistics. Your ability to balance multiple priorities and foresee potential issues will be key to your success in this role. Furthermore, your commitment to understanding team goals and aligning your work accordingly will contribute significantly towards achieving these objectives.
- Perform general administrative duties including heavy calendaring and phones, confidential document preparation, travel arrangements and expense reimbursement management.
- Plan, prepare, oversee and execute logistics for meetings.
- Assist with special projects as necessary.
- Develop a strong understanding of team goals and align work to support those goals in collaboration with colleagues.
- Balance multiple priorities, adjust as needed, and achieve desired outcomes.
- Foresee, research, and address potential issues, and new needs as they arise.
- Listen to the needs of others, respond and adapt, and build relationships of trust across diverse teams.

- Minimum of 10 years of relevant administrative experience required (financial services industry preferred).
- Mastery of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and SAP Concur.
- Clear, concise communication skills.
- Demonstrated integrity and discretion.
- High attention to detail with the ability to multi-task in a fast-paced environment.
- Exceptional organisational and time management skills; ability to set priorities while working with multiple team members.
