Institutional Sales Service Coordinator (6 months)

This 6 months contract role suits someone who thrives in a collaborative, supportive environment where attention to detail and organisational skills are valued. You will provide essential administrative support to the Relationship Management and Sales & Marketing teams, ensuring smooth operations across the Asia ex-Japan region.

This position offers flexible working options, training programmes, and the chance to grow within a nurturing workplace that values teamwork, open communication, and professional development.

Key responsibilities:

  • Provide end-to-end administrative support for institutional sales across Asia ex-Japan.
  • Process expenses, coordinate travel logistics, and manage calendars for sales team members and senior leaders.
  • Maintain accurate client records in Salesforce C360, track new business opportunities, and prepare summary reports.
  • Support marketing activities including event planning, sponsorship coordination, and preparation of client materials.
  • Assist with presentation book production, formatting documents, and ensuring quality outputs.
  • Handle confidential secretarial duties for the Senior Managing Director – Institutional Sales (Asia ex-Japan)/CEO.
  • Collaborate across departments to ensure smooth daily operations and successful project delivery.

What you bring:

  • Diploma in Business or related field.
  • At least two years’ experience in administrative or secretarial roles, ideally in financial services.
  • Strong organisational skills, meticulous attention to detail, and ability to manage multiple priorities.
  • Event management experience (virtual and in-person).
  • Positive, collaborative attitude and excellent interpersonal skills.
