What you'll do:

As a Conflicts and New Matters Intake Clerk based in Singapore, you will be entrusted with the critical responsibility of managing the intake process for new clients and matters. Your daily activities will involve reviewing documentation for completeness, entering data into sophisticated legal databases, conducting research against internal conflict-checking systems, and collaborating closely with attorneys as well as other clerks. You will also handle updates such as matter closures or reactivations, ensuring that all records remain current and compliant with firm policies. Success in this role requires you to balance multiple priorities efficiently while maintaining unwavering attention to detail. Your ability to communicate clearly with colleagues across departments will be essential as you help resolve any issues that arise during the intake process.   • Review new client and matter intake documents thoroughly to ensure all information is complete and accurate before processing.
  • Input client and matter details into the firm’s database systems with precision, maintaining high standards of data integrity at all times.
  • Process updates related to clients or matters, including closures, reactivations, party additions, and relationship partner changes as required.
  • Conduct comprehensive research on new intake requests using the firm’s conflicts database and other relevant resources to identify potential issues.
  • Perform detailed data entry tasks associated with new matters in accordance with established policies and procedures.
  • Follow up diligently on conflict issues by liaising with Partners, the Intake/Conflicts Manager, Office of General Counsel, and other internal stakeholders as necessary.
  • Analyse data related to new matters to identify possible concerns or inconsistencies, promptly notifying the appropriate parties when needed.
  • Manage multiple projects simultaneously while adhering strictly to established procedures and deadlines.
  • Maintain strict confidentiality regarding sensitive client and matter information at all times.
  • Support additional administrative tasks as assigned by management to ensure smooth departmental operations.

What you bring:

In this Conflicts and New Matters Intake Clerk position, your background in legal administration—whether through direct experience in conflicts roles or academic studies related to law will serve as a solid foundation for success. Your interpersonal skills will allow you to build positive relationships across teams while your reliability ensures that critical tasks are completed accurately even under time constraints. A keen sense of responsibility towards confidential information is essential given the sensitive nature of legal work. Your proficiency in handling multiple projects concurrently will be complemented by your methodical approach towards data entry and research tasks.   • 1-2 years’ experience in legal conflicts roles within large firms preferred; alternatively, studies in areas such as records management, paralegal work or legal assistance are considered valuable.
  • Familiarity with Intapp or CMS/Aderant software platforms is advantageous but not essential.
