  • Assist Business Development Associates with scheduling, document preparation, and meeting coordination to facilitate business growth initiatives.
  • Offer reliable coverage for Senior Managers by managing calendars, prioritising requests effectively, and communicating updates promptly.
  • Coordinate internal and external meetings by booking rooms, arranging visitor passes, preparing equipment, and welcoming guests with professionalism and warmth.
  • Manage complex travel arrangements including multi-destination itineraries, visa requirements, security measures, and detailed pre-departure checklists tailored to manager preferences.
  • Reconcile monthly multi-currency business expenses using online tools such as Concur, ensuring accuracy in both personal out-of-pocket and corporate card charges.
  • Maintain up-to-date databases such as Salesforce to support business development activities and ensure data integrity.
  • Organise small department or team meetings and events as needed, handling logistics from start to finish with careful attention to detail.
  • Provide back-up coverage for peer assistants during absences or peak periods to maintain consistent team performance.
  • Stay informed about internal policies and proactively suggest improvements to work processes that enhance efficiency for yourself and the wider department.

What you bring:

In this Client Group Assistant Support position, your proven track record in delivering high-quality administrative assistance within fast-paced environments will set you apart. Your natural ability to build rapport with colleagues fosters an atmosphere of trust and cooperation throughout the team. You bring not only technical proficiency—such as adeptness with digital expense tools and database management—but also strong interpersonal skills that enable you to communicate clearly across cultures and seniority levels. Your resourcefulness shines through when navigating complex travel logistics or adapting quickly during periods of change. By consistently demonstrating accuracy in your work while remaining sensitive to the needs of others, you embody the values of dependability and inclusivity that are central to this organisation’s ethos.
