What you'll do:
As an Executive Administrative Assistant in Singapore, you will be responsible for orchestrating the daily schedules of senior leaders while ensuring all logistical aspects—from meeting coordination to travel arrangements—are executed flawlessly. Your ability to anticipate needs before they arise will be crucial in keeping the team ahead of shifting priorities.
- Proactively manage calendars for the Asia Chief of Staff based in Singapore, coordinating meetings across multiple time zones and keeping leaders prepared as priorities shift.
- Work collaboratively with internal and external stakeholders to schedule meetings, handle travel arrangements according to company policies, and ensure all logistics such as visas and accommodation are organised.
- Support expense reporting processes by tracking procurement requests and invoices, ensuring accuracy, timeliness, and full compliance with company guidelines.
- Balance executive assistant duties (70%) with administrative assistant responsibilities (30%), adapting quickly to changing demands within the business.
- Anticipate needs before being asked by monitoring upcoming deadlines, shifting priorities, and providing timely reminders or solutions.
- Demonstrate sound judgement when prioritising tasks under shifting demands, ensuring critical matters are addressed promptly.
- Maintain zero compliance breaches by adhering strictly to regional travel policies, data handling protocols, and procurement rules.
- Optimise costs during travel planning by following policy guidelines and seeking efficient solutions without compromising quality.

What you bring:

- Minimum two years’ experience as an administrative assistant within a global team or multinational corporation is essential for this role.
- Willingness to take on executive assistant duties as core responsibilities (70%) alongside general administrative tasks (30%).
- Confident user of Microsoft Office suite including Outlook, Excel, PowerPoint, as well as Windows operating systems.
- Exceptional organisational skills enabling you to shift focus rapidly and effectively with minimal guidance from supervisors.
