An exciting opportunity has arisen for a dedicated and enthusiastic Executive Assistant to join a dynamic Investor Relations department in an Investment Management firm. This role is perfect for someone who thrives on managing administrative duties and event logistics in a fast-paced environment, preferably with experience from financial services. The successful candidate will be the backbone of the team, providing day-to-day support to the team.

What you'll do:

As an Executive Assistant in our client’s Investor Relations department, you will play a pivotal role in connecting our team with the global investment community. Your primary responsibilities will include providing comprehensive administrative support to the IR team in Singapore. You will also be responsible for maintaining key investor contacts, monitoring incoming communications, and ensuring timely responses. This role requires a high level of commitment, professionalism, enthusiasm, and a knack for multi-tasking.

  • Provide day-to-day administrative support to the IR team, including scheduling meetings and calls, expenses claims, logistic management and travel visa arrangements
  • Maintain the investor and analyst contact list
  • Monitor incoming calls, emails, and other inquiries, direct as appropriate and ensure timely follow-up
  • Plan and execute logistics for IR events, collaborating closely with the team in Singapore and IR team globally

What you bring:

The ideal candidate for this Executive Assistant role will bring a wealth of administrative experience, preferably within an Investor Relations setting. You will have demonstrated your ability to manage multiple tasks simultaneously, showcasing your strong organisational skills. Your excellent interpersonal skills will enable you to communicate effectively with various stakeholders, both internal and external. Experience in event planning or logistics would be a significant advantage. Flexibility to work outside normal office hours when required is also expected.

  • Proven experience in an administrative or executive assistant role within a fast-paced environment
  • Strong organisational skills with an ability to manage multiple tasks simultaneously
  • Excellent interpersonal skills with an ability to communicate effectively at all levels
  • Experience in event planning or logistics would be advantageous
  • Ability to work flexibly outside normal office hours when required
