What you'll do:

As a Receptionist in this dynamic Singapore-based organisation, your day-to-day activities will centre around creating an inviting atmosphere at the front desk while supporting various administrative functions that keep the office running smoothly.

  • Maintain the cleanliness and orderliness of reception areas, meeting rooms, and pantry to ensure a pleasant environment for staff and visitors.
  • Answer incoming phone calls promptly and handle general queries with warmth and professionalism.
  • Welcome visitors courteously, notify relevant personnel of their arrival, and provide assistance as needed throughout their visit.
  • Collect and distribute mail, courier packages, and letters efficiently to respective departments while keeping accurate records.
  • Administer building and office access cards responsibly to maintain security protocols within the premises.
  • Keep office records, files, databases, and phone lists updated meticulously to support smooth daily operations.
  • Assist with ordering refreshments for meetings or events and serve them with care to enhance guest experiences.
  • Purchase hampers or condolence flowers when required to demonstrate empathy during special occasions.
  • Participate actively as a member of the Workplace Safety Committee by promoting safety principles across the office.
  • Manage office supplies including stationery and first aid items; coordinate maintenance of equipment such as printers or water dispensers; liaise with vendors for cleaning or facility services; monitor vendor performance; act as primary contact for repair issues; comply with global safety standards.

What you bring:

Your proven experience as a Receptionist or in similar administrative positions equips you with the practical know-how required for this role.

  • Demonstrate a minimum of two years’ experience in similar roles where you have honed your organisational abilities.
  • Show proficiency in SAP systems as well as Microsoft Office applications including Word, Excel, and PowerPoint for effective documentation.
  • Exhibit excellent communication skills that enable you to interact considerately with internal teams and external guests alike.
  • Deliver outstanding customer service by responding empathetically to queries from both staff members and visitors.
  • Display multi-tasking skills that allow you to prioritise work efficiently even during busy periods without compromising quality.
  • Apply problem-solving abilities thoughtfully when resolving issues independently within established guidelines.
  • Maintain meticulous attention to detail when updating records or handling sensitive information securely.
  • Work collaboratively within teams by sharing knowledge generously and supporting others whenever possible.
  • Uphold safety standards consistently by complying with global policies and encouraging responsible behaviour among peers.
