An exciting Receptionist (three-month, extendable) job has just become available at a leading global alternative investment firm based in Singapore.

About the Receptionist (three-month, extendable) Role:
In this business critical role, you will cover front desk and support for office management duties.

Key Responsibilities:

  • Perform general receptionist duties, e.g. answering, screening and directing incoming calls to the appropriate personnel
  • Attend and receive guest at reception on the assigned floor in a professional manner
  • Manage and coordinate meeting room calendars
  • Assist with meeting room bookings and arrange refreshments where necessary
  • Arrange postal services (local and international), sorting of incoming mails and posting of outgoing mails
  • Arrange courier services (local and international) whenever needed for all items including corporate gifts or items between regional offices
  • Assist in pantry, office, stationery supplies orders and name cards requisitions when required
  • Floor facilities coordinator
  • Distribution of newspapers and magazines
  • Coordinate travel arrangements (booking of flights, hotels, transfers, visas, etc.) for the assigned staff/director(s)
  • Prepares and submits expense claims for the assigned staff/ directors in a timely manner
  • Assist with vendors’ maintenance requests, requirements and collation of information
  • Prepare and submit invoices and expenses
  • Attend to requests on building matters
  • Attend to requests for private offices for visitors
  • Assist with Safe Management Measures admin matters
  • Assist with onboarding and offboarding of employees
  • Ad hoc admin matters and duties as assigned

To succeed in this Receptionist (three-month, extendable) role, you will need to have ability to work effectively and co-operatively with teams, across borders and internal matrix.

Key Requirements:

  • Familiarity and proficiency in Microsoft Office (Excel and Outlook)
  • Detail-oriented, organised, strong multitasking abilities
  • Ability to work in a team environment
