A leading organisation in Singapore is seeking a reliable and detail-oriented Personal Assistant to provide essential support to a Business Manager, working collaboratively alongside an experienced PA.

What you'll do:
As a Personal Assistant, you will play an integral part in supporting the Business Manager’s daily activities by expertly managing administrative functions and maintaining meticulous documentation.
- Manage comprehensive e-filing systems by organising digital records efficiently and ensuring all files are up-to-date and easily accessible for the team.
- Maintain accurate documentation, records, and trackers while regularly updating them to reflect current information and supporting compliance requirements.
- Coordinate document collection processes including arranging physical pick-ups when necessary to facilitate smooth workflow between departments or external parties.
- Support general administrative tasks such as scheduling meetings, preparing reports, processing expenses, and streamlining office procedures for maximum efficiency.
- Book flights and accommodation for the Business Manager using personal accounts while ensuring all travel details are confirmed accurately and timely.
- Coordinate corporate travel bookings for staff through relevant company departments by liaising with internal stakeholders to meet organisational needs.
- Manage detailed travel itineraries including confirmations of bookings, last-minute changes, and providing ongoing support throughout each trip.
- Accompany the Business Manager on business trips approximately once or twice per month to locations such as Tokyo, Macau, Hong Kong, or Malaysia as required.
- Handle time-sensitive matters requiring immediate attention by remaining contactable outside of standard office hours for urgent schedule changes or critical issues.
- Provide responsive support in fast-moving situations by adapting quickly to new priorities and ensuring all urgent requests are addressed promptly.
What you bring:
To excel as a Personal Assistant in this organisation, you will bring proven experience from previous roles where you supported senior professionals through diligent administration.
- Possess 1–3 years of experience in an administrative assistant, coordinator or personal assistant capacity within a professional environment where reliability was paramount.
- Demonstrate exceptional organisational skills with strong attention to detail that ensures accuracy across all documentation and record-keeping activities.
- Showcase the ability to multitask effectively while prioritising competing demands under pressure without compromising quality or deadlines.
- Display comfort in handling confidential information discreetly while maintaining trustworthiness among colleagues and stakeholders alike.
- Exhibit flexibility and responsiveness by being available for urgent matters outside standard office hours when required by business needs.
- Be willing to travel occasionally (approximately once or twice per month) as part of your commitment to supporting the Business Manager during important business trips.
- Remain calm and composed even in fast-changing situations where quick thinking is essential for success.
- Adopt a proactive approach that focuses on finding solutions rather than dwelling on challenges or obstacles encountered during daily work.
