This is a unique opportunity for you to play a pivotal role at the heart of a highly respected organisation, where your exceptional organisational skills and attention to detail will be valued every day.

What you'll do:

As an Executive Assistant to Chief Executive Officer within this esteemed asset management firm in Singapore, you will become an indispensable partner to one of the industry’s most influential leaders. Your days will be filled with coordinating intricate schedules that span continents, arranging seamless travel experiences for high-stakes meetings, and acting as a trusted liaison between the CEO and diverse stakeholders. You will thrive in managing competing priorities while upholding confidentiality at all times. Your ability to anticipate needs before they arise will ensure that every detail is meticulously handled, from preparing comprehensive meeting packs to following up on critical action points. By supporting both routine operations and strategic initiatives, you will help drive organisational success while developing your own expertise in executive administration at the highest level.

  • Coordinate and manage the CEO’s complex calendar, including scheduling meetings across multiple time zones and prioritising appointments based on business needs.
  • Arrange all aspects of domestic and international travel for the CEO, including flights, accommodation, visas, itineraries, and ground transportation.
  • Prepare meeting agendas, take minutes during executive sessions, and ensure timely follow-up on action items for board meetings and senior leadership discussions.
  • Act as the primary point of contact between the CEO and internal or external stakeholders, maintaining professional relationships with board members, investors, clients, and staff.
  • Handle confidential correspondence with discretion, drafting communications on behalf of the CEO and ensuring sensitive information is managed appropriately.
  • Support the preparation of presentations, reports, and briefing materials for high-level meetings or conferences attended by the CEO.
  • Monitor deadlines and proactively remind the CEO of upcoming commitments or deliverables to ensure nothing is overlooked.
  • Assist in organising corporate events or offsite meetings involving senior executives or key partners.
  • Manage expense claims, invoices, and other administrative tasks related to the CEO’s office efficiently and accurately.
  • Contribute to special projects as required by the CEO, demonstrating flexibility in responding to evolving business priorities.

What you bring:

To excel as an Executive Assistant to Chief Executive Officer in this environment, you will bring proven experience supporting top-tier executives, ideally within asset management or financial services, where precision timing and absolute discretion are paramount. Your advanced organisational capabilities will enable you to manage shifting priorities without missing a beat. You will demonstrate polished communication skills when engaging with senior stakeholders both internally and externally. Your technical proficiency ensures you can prepare professional documents swiftly while leveraging digital tools for efficient workflow management. Above all else, your reliability underpins everything you do; colleagues trust your judgement implicitly because you consistently deliver results even under pressure. Your collaborative spirit helps foster an atmosphere of mutual respect throughout the organisation.

  • Extensive experience supporting C-suite executives or senior leaders within financial services or similarly demanding environments is highly desirable for this position.
  • Exceptional organisational skills demonstrated through managing complex calendars with frequent changes and tight deadlines.
  • Proven track record of arranging international travel logistics including visa applications, itinerary planning, and last-minute adjustments.
  • Outstanding written and verbal communication abilities suitable for interacting with board members, investors, clients, and colleagues at all levels.
  • High degree of professionalism when handling confidential information or sensitive business matters on behalf of executive leadership.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) as well as virtual meeting platforms such as Zoom or Teams.
  • Strong interpersonal skills that foster positive relationships across departments while representing the CEO’s office with warmth and diplomacy.
  • Ability to remain composed under pressure while juggling multiple priorities in a fast-paced corporate setting.
