About the Role:

EA Responsibilities

  • Assist APAC Leadership team with diary and administration management
  • Manage APAC Leadership team’s administrative activities.
  • Support with preparation of documents (agenda’s and presentations) for meetings, and follow up actions after the meetings
  • Coordinate travel arrangements, including flights, accommodation, and transportation, for the APAC Leadership & Operations Team.
  • Manage APAC Leadership team’s budgets to enable cost efficient decision making
  • Organize and coordinate internal events, including offsites
  • Manage confidential projects
  • Working in collaborate with other team members in Asia and Globally to ensure seamless coordination and efficient operations.
  • Provide any additional ad-hoc support requested by the APAC Leadership team to enable effective management of the business.

Business Management Responsibilities

  • Collate and track appraisal documents, promotion criteria, organise team structures and charts.
  • Liaise with all Operational leaders to support ongoing forecasting and financial reviews, documenting narrative and actions and setting up reviews.
  • Ensure operational documents are maintained and kept up to date in the relevant sharepoint folders.
  • Make recommendations for efficiency and ease of use/access for the Operational teams.
  • Audits: Co-ordinate across various functions to complete the relevant documentation, liaise with internal stakeholders and external auditors to complete.
  • Communicate, coordinate and manage, on behalf of the APAC Leadership team, any pastoral care initiatives run by the Company at a regional and global level.
  • Coordinate obtaining stakeholder insights, slides, feedback and agendas required for meetings conducted and/or attended by APAC Leadership team.
  • Conduct research on subjects requested by APAC Leadership team and provide APAC Leadership team with any support requested to prepare for external meetings and events (including but not limited to preparation of briefing packs)
  • Manage, coordinate and collate information requested by APAC Leadership team and support with any social media campaigns and social media account management (drafting and proof reading posts etc.), as requested.

Who you are:

Key competencies and skills

  • Minimum 2 years of experience as an Executive Assistant
  • Experience managing multiple stakeholders across multiple time zones
  • Demonstrated ability to identify issues early, propose solutions, and independently manage resolution within agreed timelines.
  • Able to manage multiple priorities and meet changing business needs within agreed timelines.
  • Demonstrated experience collaborating effectively across teams and building professional relationships to achieve business objectives.
  • Preferably has experience in an RPO or Recruitment Corporate environment
  • Exceptional attention to detail and accuracy in all work.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally and effectively with all levels of the organization.
  • Experience with productivity tools such as MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration platforms.
  • Must maintain confidentiality and handle sensitive information with discretion at all times.
