Our client is seeking a highly organised and proactive Personal Assistant to join their team in Singapore. This role offers the opportunity to work within an international team, providing comprehensive support across a range of tasks including secretarial, administrative, sales, IT and HR.

The successful candidate will have the chance to contribute significantly to the smooth running of the organisation, with responsibilities spanning from managing calendars to organising complex travel arrangements and supporting exhibitions. This is an excellent opportunity for someone with a keen eye for detail, strong initiative and excellent communication skills.

What you'll do:

As a Personal Assistant, your role will be integral to the smooth operation of our client's business. You will be immersed in a variety of tasks that require excellent organisational skills and proactivity.

  • Provide secretarial support including managing calendars and updating travellers’ schedules
  • Organise administrative tasks such as travel expenses and office equipment upkeep
  • Cooperate and communicate effectively with customers, suppliers, visitors, sales managers and the German headquarter
  • Organise complex travel, accommodation and transport arrangements
  • Responsible for the organisation of meetings, conferences and team bonding events
  • Support in the organisation of exhibitions
  • Handle logistics tasks including preparing commercial invoices and arranging shipments
  • Provide sales support through data entry, research, presentations and handling orders
  • Offer internal sales support by raising purchase orders, quotations, invoices and credit notes
  • Provide IT support through inventory management and coordination with HQ

What you bring:

The ideal candidate for this Personal Assistant role brings a wealth of experience in similar roles. Possessing excellent self-organisation skills and a proactive nature, will be key to your success in this role.

  • At least 4 to 5 years of working experience as personal assistant or administration manager
  • Diploma or degree in business studies, administration, management or equivalent
  • Ability to maintain a high level of confidentiality due to insight into confidential matters
  • Excellent self-organisation skills and proactivity
  • Attention to detail with a dynamic, committed attitude and strong sense of initiative
  • Intercultural competence with excellent communication skills in English (both written and verbal)
  • Strong proficiency in Microsoft Office
  • Dynamic, highly motivated, well organised, detail oriented individual
  • Very good team player with a cheerful personality
