What you'll do:
As an Executive Assistant, your primary role will be to provide comprehensive support to key company executives. You will manage complex schedules, coordinate travel arrangements, and ensure smooth communication both internally and externally. Your ability to organise and prioritise tasks will be crucial in ensuring the efficient operation of the office. Additionally, you will handle general administrative duties, organise events, and manage expense reports.
- Manage and organise executive calendars
- Coordinate travel arrangements including booking taxis for executives
- Book meeting rooms and order lunches for meetings
- Perform general administration duties such as filing, scanning documents, faxing
- Maintain office tidiness
- Promptly respond to mail and email requests
- Sort incoming mail into categories (e.g. action required, no action required)
- Create presentations
- Organise events like workshops or conferences
- Manage travel and entertainment claims
What you bring:
The ideal candidate for this Executive Assistant position is someone who brings proven experience in a similar role. You should have excellent organisational skills with an ability to think proactively and prioritise work. Strong communication skills are essential in this role as you will often be the first point of contact for clients. Proficiency in MS Office applications is also required. Above all, we are looking for someone who can maintain discretion and confidentiality at all times.
- Proven experience as an Executive Assistant or similar role
- Excellent organisational skills with an ability to think proactively and prioritise work
- Strong communication skills with a customer service attitude
- Proficiency in MS Office applications (MS Excel, MS Word)
- Ability to multitask and meet deadlines in a fast-paced environment
