What you'll do:
As a Team Assistant, you will play a pivotal role in supporting the Debt Capital Markets team. Your day-to-day responsibilities will include providing logistical support for various events such as client's Syndication Roadshow, Signing and Closing Ceremonies. You will also assist in preparing marketing materials, handling reimbursement claims, reporting daily syndications position, coordinating business travels among other administrative tasks. Your ability to manage multiple tasks simultaneously while maintaining attention to detail will be key to your success in this role.
- Provide logistical and administrative support to the DCM team.
- Arrange and provide full logistical support for client’s Syndication Roadshow, Signing and Closing Ceremonies.
- Assist with the printing/binding of marketing presentation materials and preparing name tags.
- Prepare clients reimbursement claims with invoice letters, bank’s RWS e-claims, miscellaneous claim forms, e-file all approval forms and carrying out general administrative duties.
- Prepare and report the daily Syndications Position Report and other reports on ad hoc basis as well as scan/circulate call memos to AIBD CLOs and department staff.
- Arrange coordinate business travels, prepare e-claims/miscellaneous claim forms for DCM staff.
- Assist with HK and Sydney DCM staff work matters.
- Filing of Indicative Proposal Letters, Non Disclosure Agreements, Commitment Letters, Power of Attorney Letters and other miscellaneous duties when assigned.
- Acknowledge receipt of important documents and mails.
- Comply with the relevant MAS regulations and all applicable policies (including compliance policies).
What you bring:
The ideal candidate for the Team Assistant role will bring a wealth of experience, preferably from an investment banking environment. Your excellent communication skills will enable you to interact effectively with senior stakeholders. You are results-driven, accountable and able to manage a large workload within tight deadlines. Your proficiency in English and technology, particularly Microsoft Office Suite, will be crucial in this role. Your ability to demonstrate sound judgement, operate with urgency and prioritise work accordingly will set you apart.
- At least 5 years’ experience in a similar capacity as an Executive Assistant, preferably in an investment banking environment.
- Ability to navigate complex matters within a matrix structure.
- Must be able to read/write/speak fluent English.
- Proficient with technology and systems including Microsoft Outlook, Word, Excel and PowerPoint.
- Excellent written and verbal communication skills and ability to interact effectively with senior stakeholders.
- Results driven, with a strong sense of accountability.
- A pro-active, motivated approach, able to manage large workload and tight deadlines.
- Ability to operate with urgency and prioritise work accordingly.
- Ability to demonstrate sound judgement.
- A structured and logical approach to work, excellent planning and organizational skills.
