An exciting opportunity has arisen for a highly skilled Executive Assistant to join a prestigious organisation based in Singapore. This role offers the chance to provide full secretarial support and manage personal administrative matters for the CEO of a leading company. The successful candidate will be an integral part of the team, prioritising and anticipating needs, thinking critically, and offering solutions to problems with a high level of professionalism and confidentiality.

What you'll do:

As an Executive Assistant, you will play a pivotal role in supporting the CEO by managing the schedule, coordinating meetings and events, handling travel arrangements, and providing administrative support. You will also be responsible for coordinating logistics for senior management executives' visits. Your ability to multitask, stay organised, and maintain a positive mindset will be crucial in this role. You will also have the opportunity to assist in the development of presentation materials. This role requires someone who is not only proficient in office administration but also has strong interpersonal skills.

  • Maintain the calendar of the CEO, prioritising inquiries and requests, exercising judgement on time required and providing recommendations to ensure smooth day-to-day engagements
  • Prepare, organise and coordinate the agenda, presentations, materials and logistics for conferences, meetings and/or events
  • Coordinate and manage all travel arrangements including flight booking, visa applications, hotel bookings, translation of documents, appointments with embassies etc.
  • Provide timely support on the Travel and Entertainment claims preparation and submission for CEO
  • Provide administrative support on CEO’s personal matters such as home leave/vacation travel arrangement, housing matters etc.
  • Coordinate logistics and groundwork for senior management executives’ visits
  • Assist in the development and preparation of presentation materials
  • Maintain files and records
  • Handle general clerical duties

What you bring:

The ideal candidate for this Executive Assistant position will bring a wealth of experience in providing executive secretarial support at a high level. With a BA degree or equivalent, you will have 4-6 years of relevant experience and be computer literate with strong skills in Microsoft Office software. Your office administration management and people management experience will be highly valued. You will also bring strong communication and negotiation skills to the role, along with a positive mindset and the ability to solve problems creatively.

  • BA Degree or equivalent qualification
  • 4 - 6 years of relevant experience in executive secretarial support to CEO
  • Computer literate with strong skill in Microsoft Office software (Excel, Words, PowerPoint)
  • Relevant office administration management and/or people management experience would be a plus
  • Strong communication and negotiation skills
  • Ability to multitask and stay extremely well organised
  • Good interpersonal skills with positive mindset
  • Self-starter, independent and creative problem solver
