Our client is seeking an energetic and experienced Office Manager to join their team in Singapore. This role offers the opportunity to work within a diverse and dynamic environment, where you will be responsible for a wide range of support duties including administration, facilities management, accounting management, people management and marketing.

What you'll do:

As an Office Manager, your role will be pivotal in ensuring the smooth operation of our Singapore office. You will be tasked with managing a variety of responsibilities from overseeing office supplies and equipment to maintaining proper documentation in line with the firm's policies. Your role will also involve financial management tasks such as approving invoices and supporting local account booking. Additionally, you will play a key role in people management initiatives including administering competency tests for recruitment purposes and organising networking events. Your contribution will extend to practice development where you will compile presentations for sales pitches. Lastly, you will handle administrative duties such as managing travel logistics.

  • Oversee office supply, equipment, pantry inventory; acquire and manage office equipment as required.
  • Perform periodic analysis for all vendor performance and review their contracts for budget control.
  • Maintain proper documentation and a filing system in accordance with the Firm’s retention policy.
  • Develop and maintain emergency procedures; responsible for emergency response to ensure safety of the staff & minimal office disruption.
  • Approve/obtain approval for all invoices based on Firm’s approval matrix.
  • Support local account booking and audit matters.
  • Administrate competency testing and/or interviews for recruitment purposes.
  • Organize office networking events to promote staff loyalty & motivation.
  • Compile decks/presentations for sales pitches.
  • Manage travel logistics and Visa arrangement.

What you bring:

The ideal candidate for this Office Manager position brings a wealth of administrative experience along with a high degree of professionalism. With at least six years of progressively responsible administrative experience under your belt, you are well-versed in managing a fast-paced professional services firm environment. Your exceptional communication and interpersonal skills will be key in leading and directing others. You are proactive, able to take initiative and exercise judgement with minimal supervision. Your advanced proficiency in Microsoft Word, Outlook, Excel, and PowerPoint will be essential in this role. Lastly, your flexibility to work full time in an office and remote environment will be crucial.

  • Bachelor's degree highly preferred.
  • Six to eight years of progressively responsible administrative experience required, including three to five years office management experience.
  • Experience in a fast-paced professional services firm environment preferred.
  • High degree of professionalism in leading and directing others.
  • Ability to take initiative, exercise judgment with minimal supervision, and manage up.
  • Exceptional communication and interpersonal skills.
  • Advanced proficiency with Microsoft Word, Outlook, Excel, and PowerPoint.
  • Ability to work full time in an office and remote environment.
