What you'll do:

As an Executive Assistant to C-suite Leaders based in Singapore, you will be entrusted with responsibilities that span across executive travel management, board meeting logistics, governance administration, and confidential record-keeping.

  • Coordinate end-to-end business travel arrangements for C-suite executives, including flights, accommodations, ground transportation, visas, and travel insurance while ensuring cost-effectiveness and alignment with business priorities.
  • Prepare detailed travel itineraries that reflect executives’ schedules and proactively manage any changes or disruptions to guarantee seamless experiences.
  • Liaise with travel agents, hotels, airlines, and internal teams to secure appropriate arrangements and maintain accurate records of bookings and expenses in line with company policies.
  • Plan, schedule, and coordinate Board and Board Committee meetings by setting dates, venues (physical or virtual), agendas, and managing all logistical requirements such as catering, security access, and technical support.
  • Issue timely notices of meetings while ensuring quorum requirements are met and serve as the primary administrative contact for Directors regarding meeting logistics.
  • Organise, compile, and distribute board papers, presentations, and supporting materials securely and efficiently ahead of deadlines.
  • Maintain structured filing systems—both digital and physical—for board materials while assisting with the preparation, review, and finalisation of minutes in compliance with governance standards.
  • Track action items arising from board meetings by following up with relevant stakeholders to ensure timely completion.
  • Ensure proper archival of board resolutions, minutes, and statutory records in accordance with legal and regulatory requirements.

What you bring:

In the Executive Assistant to C-suite Leaders role you will bring proven expertise supporting top-tier executives within demanding corporate settings.

  • Demonstrated experience providing high-level administrative support to C-suite executives or senior leadership within a corporate environment is essential for success in this position.
  • Proven track record coordinating complex international travel arrangements—including flights, accommodation, visas—and managing last-minute changes with composure is highly desirable.
  • Exceptional organisational skills are required for planning meetings involving multiple stakeholders across different time zones while maintaining strict confidentiality at all times.
  • Strong written communication skills are needed for preparing agendas, compiling board papers, drafting minutes accurately, and issuing formal notices.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) as well as familiarity with virtual meeting platforms such as Zoom or Teams is expected.
  • Meticulous attention to detail is crucial when managing records related to board resolutions or statutory filings under legal frameworks.
  • Ability to build positive relationships through excellent interpersonal skills when liaising with directors or external service providers is important.
