Team Assistant
A leading investment bank in Singapore is seeking a highly organised and resourceful Team Assistant to provide confidential, high-calibre support to four corporate function business heads at the C-suite level.
What you'll do:
As the Team Assistant – Risk Management and Corporate Functions based in Singapore’s central business district, you will play an integral role in supporting four senior business heads across key corporate functions. Your day-to-day activities will involve managing complex calendars with precision, arranging travel logistics down to the finest detail, preparing briefing materials for high-level meetings, drafting agendas and minutes for various forums including Town Halls and department meetings. You will maintain digital workspaces for document control while formatting executive presentations to exacting standards. Acting as a dependable liaison between internal teams and external partners, you will coordinate cross-departmental deliverables ensuring alignment on timelines. Budget tracking forms part of your remit alongside ad-hoc operational duties assigned by managers. Confidentiality is paramount as you handle sensitive information with care while remaining aware of regulatory requirements such as audit windows or compliance attestations. Success in this role requires exceptional organisational skills coupled with a collaborative approach that supports both individual executives and wider team objectives.
- Coordinate complex travel arrangements for leadership including itineraries, visa applications, logistics management, and end-to-end expense filing and reconciliation to ensure seamless business trips.
- Support managers by preparing concise briefing packs for meetings that include agendas, decision requests, financials, risk items, and action points to facilitate effective discussions.
- Draft detailed meeting agendas, capture decisions and actions accurately during meetings, circulate minutes promptly, and track follow-ups through to closure for all assigned forums.
- Arrange conference calls using Teams or other platforms as well as Town Hall meetings; prepare comprehensive agendas to coordinate and organise departmental gatherings efficiently.
- Maintain shared digital workspaces such as M365/SharePoint/Teams by managing filing structures for version control and audit readiness to uphold compliance standards.
- Format executive presentations and management reports with meticulous attention to detail ensuring they meet publication standards before distribution.
- Serve as a trusted point of contact for both internal and external stakeholders by triaging requests appropriately, escalating issues when necessary, and ensuring timely resolution of queries.
- Coordinate deliverables across multiple departments including Finance, HR, Compliance, Risk, Legal, IT and COO functions by aligning timelines and dependencies for successful project outcomes.
- Track departmental budgets such as T&E expenses and training costs; provide monthly spend snapshots to support operational efficiency within the team.
- Handle sensitive information with absolute discretion at all times while adhering strictly to data protection policies and records retention standards.

- Minimum five years’ relevant working experience in a fast-paced environment ideally within financial services or similar regulated industries where confidentiality is critical.
- Highly proficient spoken and written English enabling clear communication among diverse stakeholders at all levels within the organisation.
- Demonstrated ability to manage complex schedules discreetly while handling highly confidential information with tact and professionalism as situations arise.
- Advanced Microsoft Office skills including Outlook for calendar management; Excel for budget tracking; PowerPoint for presentation formatting; Word for report writing; plus proficiency in other office productivity tools such as SharePoint or Teams with an aptitude for learning new systems quickly.
- Exceptional organisational abilities allowing you to juggle multiple priorities simultaneously without compromising accuracy or attention to detail.
