A family office based in central Singapore is seeking a highly organised and meticulous Personal Assistant to provide comprehensive support across both personal and administrative matters. You will work closely with a respected family, providing essential day-to-day support across personal and administrative needs.

What you'll do:

As a Personal Assistant to the Family, your primary focus will be on providing seamless support that enables each family member to navigate their busy lives with ease.

  • Provide comprehensive administrative and logistical support to family members on a daily basis, ensuring their schedules and requirements are managed efficiently.
  • Manage personal and household calendars by organising appointments, coordinating travel itineraries, and ensuring all commitments are met seamlessly.
  • Liaise with vendors, service providers, and household staff to arrange maintenance tasks, plan events, and oversee other necessary arrangements for the family’s comfort.
  • Handle personal errands such as shopping, making reservations, or purchasing items as requested by family members while maintaining meticulous records of all transactions.
  • Assist with planning and executing family-related projects, special events, gatherings, or celebrations by coordinating logistics and communicating effectively with all involved parties.
  • Maintain accurate records, files, and documentation related to household operations or personal matters in an organised manner for easy retrieval when needed.
  • Oversee incoming correspondence including calls, emails, messages, and ensure timely responses or appropriate follow-up actions are taken on behalf of the family.
  • Track expenses diligently by managing reimbursements and liaising with accountants or financial advisors as required to ensure transparency and accuracy in financial matters.

To excel as a Personal Assistant to the Family in this setting, your background should reflect hands-on experience as a Personal Assistant, Executive Assistant or similar role supporting private individuals or families

  • Exceptional organisational skills combined with the ability to multitask effectively allow you to manage competing priorities without compromising quality or attention to detail.
  • A strong sense of discretion and trustworthiness is crucial as you will be handling confidential information regularly within both personal and professional contexts.
  • Excellent verbal and written communication skills enable you to interact confidently with family members, staff, vendors, and external partners alike.
  • Proficiency in Microsoft Office applications along with comfort using digital tools such as scheduling platforms ensures efficient management of calendars and documents.
  • A positive attitude paired with flexibility allows you to adapt quickly when plans change or urgent requests arise during evenings or weekends.
  • Experience liaising with domestic staff or vendors demonstrates your ability to foster harmonious relationships within a collaborative team environment.
  • Meticulous record-keeping abilities help maintain order across various aspects of household administration including expense tracking and document management.
