Our client is seeking a highly organised and detail-oriented Executive Assistant - Office Administrator to join their team in Singapore. You will be responsible for all office matters and extending secretarial support to the Senior Regional Executives.

As an Executive Assistant - Office Administrator, your role will be multifaceted. You will ensure smooth operations within the office by monitoring inventory levels, maintaining a professional working environment, handling incoming couriers, and supporting new employee onboarding. Additionally, you will establish relationships with landlords, negotiate insurance renewals, assess vendor performance, collaborate with HR and IT departments, and provide comprehensive secretarial support to senior executives. Your ability to multitask effectively while maintaining attention to detail will be crucial in this role.

  • Monitor inventory levels of office supplies, order and replenish supplies as needed, ensuring cost-effective procurement.
  • Oversee office upkeep to maintain a clean, organised, and professional working environment.
  • Handle incoming courier and direct them to the appropriate parties.
  • Support the onboarding process for new employees.
  • Establish relationships with Landlords.
  • Responsible for General Insurance renewal negotiation and execution adhering to the lease agreement.
  • Regularly assess vendor performance and make recommendations for improvements.
  • Collaborate with HR and IT for new employees onboarding.
  • Partner closely with IT for any basic troubleshooting and/or rolling out of Global IT policies/work instructions.
  • Provide secretarial support to Regional Senior Executive(s) including calendar management, meeting coordination, expenses reporting and travel arrangements.

  • Previous experience in office management and secretarial support to senior executives on regional capacity.
  • Excellent communication skills.
  • Strong organisational skills and attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • Strong problem-solving abilities with the capacity to identify issues and implement practical solutions.
  • Resourcefulness and initiative with the ability to work independently.

  • Ability to maintain strict confidentiality of sensitive information.
