Our client is seeking a dedicated and dependable Office Administration Assistant to join their team in Singapore. This role is a temporary hire for a period of two weeks, with the potential for extension.
The successful candidate will be the 'Go-to Person' for staff, handling a variety of tasks related to office operations. From welcoming new joiners and managing travel bookings to ordering office lunches and handling administrative duties, this role offers a diverse range of responsibilities.
What you'll do:
As an Office Administration Assistant, your role will be pivotal in ensuring smooth operations within the office. You will be responsible for a wide array of tasks from welcoming new joiners to managing travel bookings. Your excellent organisational skills will come into play as you manage office lunches, book meeting rooms, greet visitors, attend to vendors and contractors, check mail, order supplies, and replenish pantry items. Your ability to multi-task will be key in this dynamic role.
* Welcoming new joiners, issuing office access cards, introducing them to all staff and settling them in.
* Handling all work pass matters for (non-local) employees and their family members such as: application, issuance, renewing, cancellation and update on changes of address, contact and passport.
* Managing travel booking for employees to ensure all flights and accommodations are correctly booked based on company travel policy.
* Managing and ordering twice weekly office lunch for employees manually.
* Booking meeting rooms and generating Teams dial-in for PMs.
* Greeting visitors upon arrival and bringing them to the respective meeting rooms.
* Attending to vendors and contractors doing servicing of aircon, maintenance of pump and coffee machines and deliveries.
* Checking letterbox for incoming mail, scanning all invoices and statements – hardcopies to be filed in the filing cabinet.
* Ordering of pantry supplies, fruits & stationery on frequent basis.
* Daily replenishing of the pantry and office supplies.

* Prior experience working as a Receptionist/Front of house and Admin Support.
* Excellent communication skills.
* Exceptional customer service skills.
* Presentable, well mannered.
* Punctual, reliable and proactive.
* Flexible when covering periods of absence and early/late meetings.
* Ability to multi-task and prioritise workload
* Effective problem solver and organised
* Self-starter
* Experience with Microsoft Outlook, Excel, Word, PowerPoint.
