An international investment firm is actively seeking an experienced Office Team Assistant to join their Singapore office. In this job, you will be responsible for the overall office administration with the support of the administrative team.
About the Office Team Assistant Role: Reporting to the Office Manager, you will be responsible in overseeing the operation of the office and supporting the team members across the Singapore office.
Organise complex global travel including flights, accommodation, and document pack publication
Assist with the team individuals diary/calendars accordingly
Coordinate regular meetings locally and globally across different time zones
Support document creation and management across a broad range of formats
Meet and greet visitors and coordinate hospitality
Liaise and build good business relationships across the group and its global offices
Assist colleagues from the leadership team when they are in Singapore
Screen and check receipts against individual's travel expense claims before submission
Answer, screen, and forward incoming phone calls
Manage the meeting room calendar and prepare meeting rooms ahead of meeting as required
Receive and sort mail and other deliveries
Liaise with courier companies on costs and collections
Monitor and order stationery and kitchen supplies
Assist in compiling weekly office meeting schedule for global internal distribution
Collate and distribute PE and RE articles from online media for global team distribution
Assist in coordinating and preparing monthly team events
Assist the team as and when required
Manage any other ad hoc duties
To succeed in this Office Team Assistant role, you must be a strong team player, efficient and be meticulous with an eye for detail as well as being comfortable working in a fast-paced environment.
High school diploma, secretarial or business studies qualifications in a relevant field is an advantage
Previous reception and team assistant experience in other roles especially within the financial services industries
Excellent commercial acumen including high levels of integrity
Ability to multitask and prioritise workload using time management and good organisational skills
Excellent interpersonal and negotiation skills with a high focus on collaboration
Administration support experience in an investment or finance company ideally supporting a team
Professional, discreet, self-starter
Excellent written and spoken English
Strong communication skills and an ability to liaise effectively across the firm and externally at all levels
Willing to learn, flexible
Keen eye for detail
Strong Microsoft Office experience specifically in PowerPoint and Excel
Able to work under pressure at short notice
Resourceful and proactive
