A global investment firm is actively seeking an experienced Executive Assistant to join their investment management team in Singapore. This position is responsible for the overall support of the investment consultants for their Singapore office.
About the Executive Assistant Role: Reporting directly to the Investment Group Manager, you will be supporting the portfolio investment team in overseeing the executive administration and operational support in Singapore.
Key Responsibilities:
Provide administrative support to the investment portfolio team
Provide extensive management of calendars
Plan, organise and schedule meetings to accommodate managers and others. Uses discretion and judgement to determine the priority of meetings
Manage extensive and meticulous travel arrangements for the investment team
Complete business expense claims promptly and follows on reimbursements if necessary
Keep abreast of internal administrative policies, practices, and guidelines (best practices, travel and expense guidelines, office services processes)
Support the client servicing team in baseline client requests
Proactively handle incoming queries; processing where appropriate; passing onto the relevant associate in a timely and accurate manner
Collate and prepare materials for client and prospect meetings
Maintain client organisational and contact data in Salesforce, ensures all meetings are logged
Assist with the preparation of reports including gathering data from applications and conducting basic research
Manage the client and prospect information and activity
Update Salesforce for service requests
Manage the regular client AML monitoring process
Distribute scheduled reports to clients/prospects
Assist in post trade compliance checks and reporting
Check compliance for accounts in Charles River Development and prepares month end reports for internal teams and clients
Provide trade and results reports to the investment group
To succeed in this Executive Assistant role, you must be highly experienced in providing supports to the investment teams in a fast-paced environment and be meticulous with an eye for detail with proven experience in financial services, preferably in investment banks.
Key Requirements
Must have at least 10 - 15 years of executive administrative experience working in financial services preferably in international banks
Proven ability to prioritise assigned work and complete in a timely manner
Able to demonstrate effective written and oral communication skills with a diverse group of associates and senior business leaders
In-depth knowledge of Microsoft Office and other relevant software and applies it to work assignments
Professional English language skills with Mandarin/Cantonese language skills would be advantageous
