What you'll do:
As an Events Executive, you will play a central role in supporting customer-facing engagement teams by coordinating impactful events and executive sessions. Your day-to-day responsibilities will include matching expert speakers with appropriate sessions based on their expertise and customer requirements across diverse APAC markets. You will work collaboratively with various stakeholders to ensure all operational aspects are managed smoothly—from sourcing speakers to maintaining up-to-date information on their profiles. Your ability to manage shifting priorities calmly under tight timelines will be essential as you handle both planned activities and unexpected challenges during live events. By leveraging advanced reporting tools and maintaining strong relationships within the speaker community, you will help drive continuous improvement in program performance while nurturing a thriving network of engaged professionals.
- Identify and secure the most suitable speakers for sessions by aligning speaker expertise with session goals and customer needs throughout APAC markets.
- Collaborate closely with Engagement Owners and Program Managers to support specialised speaker outreach as well as last-minute requests for high-profile events.
- Set clear expectations with speakers and account teams, ensuring readiness and managing contingency plans for complex or high-risk engagements.
- Consolidate presentation content and logistical requirements to guarantee speaker preparedness for each session.
- Monitor speaker alignment proactively, driving solutions for unfilled sessions especially during critical timelines and deadlines.
- Act as the escalation point during live briefings, handling dropouts, replacements, and communication updates efficiently on the day of engagement.
- Manage the onboarding journey for new speakers including orientation, topic submission, readiness checks, and follow-up activities.
- Maintain accurate speaker profiles by tracking changes and ensuring visibility of speaker pools across all APAC regions.
- Utilise internal tools such as Power BI, SharePoint catalogs, and Speaker Dashboards to report on speaker health, topic coverage gaps, and overall program performance.
- Coordinate relevant training sessions for speakers by organising nominations, room bookings, logistics, and developing insights to improve readiness.
What you bring:
Your background in event coordination or programme management equips you with the practical knowledge needed to excel as an Events Executive. Your excellent interpersonal skills enable you to build trust quickly with both internal teams and external stakeholders from various cultural backgrounds. You bring a dependable approach to managing complex schedules while remaining sensitive to shifting priorities. Your proficiency with Microsoft 365 applications ensures you can handle reporting tasks efficiently while supporting operational excellence. - At least two years of experience in project or program coordination, events management, communications or executive engagement within multicultural environments.
- Proven ability to communicate effectively with stakeholders from diverse backgrounds across APAC cultures.
- Demonstrated organisational skills with meticulous attention to detail when managing multiple priorities under tight deadlines.
- Proficiency in Microsoft 365 tools including Outlook, Excel, PowerPoint, SharePoint; familiarity with Power BI is advantageous.
- Comfortable working across multiple time zones while adapting communication styles for different cultural contexts.
- Experience collaborating cross-functionally with sales, engineering or leadership teams in a supportive manner.
- Ability to write compelling invitations or communications with minimal editing required for marketing purposes.
- A positive attitude towards learning new skills through training opportunities provided by the organisation.
- Community management experience (such as running groups or programmes) is desirable but not mandatory.
- An analytical mindset with interest in using data tools like Excel or Power BI over time is considered beneficial.
