What you'll do:

As an Admin Assistant (Contract), you will play a pivotal role in maintaining the smooth operation of the Singapore office by providing dependable support across a variety of functions.

  • Assist with onboarding, transfer, and offboarding processes by supporting the Office Manager in ensuring smooth transitions for all staff members.
  • Coordinate logistics for internal events such as sales trainings, Townhalls, TeamTalks, and Lunch & Learn sessions by booking meeting rooms, managing calendar invites, tracking RSVPs, preparing materials, and arranging catering.
  • Provide comprehensive daily administrative support to the office including replenishing stationery supplies, managing incoming mail, arranging courier services locally and overseas, and facilitating office or department moves as needed.
  • Arrange card access for visitors and act as a point of contact for general queries from the sales team regarding company background information.
  • Offer backup coverage for both the Executive Coordinator and Office Manager during their absence by handling travel arrangements, scheduling meetings across time zones, processing invoices through Ariba, submitting T&E reports for leadership teams, and supporting ad-hoc assignments or projects.
  • Oversee technology coordination within assigned areas by conducting regular inventory reviews, organising yearly end-of-life laptop replacements, arranging disposal of outdated equipment, and liaising with IT teams as necessary.
  • Ensure all contracts are properly counter-signed and archived into shared drives for future reference; prepare courier services to send contracts internationally for signatures and return originals to clients.
  • Support accounts validation activities on an ad hoc basis by helping segregate new logo clients from existing ones as requested by management.
  • Facilitate event or conference organisation when required by collaborating with internal stakeholders to ensure seamless execution of company activities.

What you bring:

To excel as an Administrative Assistant (Contract), your background should reflect solid experience in providing comprehensive administrative support within professional settings.

  • Three to five years’ experience in administration roles within fast-paced corporate environments.
  • Excellent English communication skills—both written and verbal—with proven ability to build strong relationships with internal stakeholders such as executive assistants, office managers, administrative assistants from other divisions as well as external vendors.
  • Demonstrated emotional intelligence combined with cultural sensitivity and a consistently pleasant disposition when interacting with colleagues at all levels.
  • Intermediate to advanced proficiency in Microsoft Office applications including Outlook, PowerPoint, Word, Excel along with familiarity using technologies like Zoom, WebEx, Salesforce, Concur, Workday or Ariba.
  • A high level of personal integrity coupled with strict confidentiality standards due to frequent handling of sensitive information related to contracts or financial matters.
  • Self-motivated approach marked by resourcefulness; strong organisational skills; excellent time management; keen attention to detail; ability to multi-task effectively while meeting deadlines under pressure.
  • Proven track record of prioritising tasks efficiently without compromising quality standards even during busy periods or when juggling competing demands.
  • Team-oriented mindset that thrives in collaborative settings where sharing knowledge and supporting others is encouraged.
  • Experience organising events or conferences would be considered an asset but is not essential.
