Responsibilities:
- Provide Secretarial & HR Operations support to a team of Managers
- Coordinate, plan and manage all arrangements on overseas travel and business engagements and ensure that they are adequately equipped for each trip.
- Effective time/diary management in scheduling of meetings and appointments within and outside the organisation
- Maintain department calendars
- Schedule appointments, organise meetings and liaise with overseas counterparts to organise audio or video conferences
- Assist with their expenses claims reimbursement
- Act as the department gatekeeper for invoices and finance claims
- Develop and maintain filing systems and databases to coordinate information on processes and generate reports
- Prepare presentation materials on Powerpoint for meetings
- Responsible for logistic arrangements for on and off-site meetings and events
- Liaising with Senior Managers regionally and globally
Requirements:
- Diploma or Certificate of Private Secretarial
- At least 4 to 5 years of experience in providing support at a senior level and team of managers
- Degree in Business Administration/Business Studies or others.
- Fluency in English, both oral and written
- Excellent computer skills – Word, Excel & Powerpoint
- Timely organisation skills
- Have excellent interpersonal and communication skills
- Be able to work independently
- Be highly adaptable and able to multi-task
- Ability to liaise within all levels of management and staff
